As I transitioned from School Operations Manager to Director of Operations, I identified areas in need of improved efficiency and effectiveness that previously fell outside my purview. Recognizing the need for a cohesive vision, I developed a clear strategy for how I wanted our operations team to function.
Historically, our operations team was siloed, with minimal collaboration among its seven members. Team members focused solely on their individual tasks, fostering a culture of isolation. Understanding this, I knew my approach to leadership would require intentionality, particularly since I could only hire for one key position. My focus was on increasing team investment, fostering alignment, and creating a shared vision for operational excellence.
I began by crafting a comprehensive 90-day plan during my interview process, which later served as a roadmap for driving change. A key part of this transition involved redefining team dynamics and expectations. I strategically hired a School Operations Manager whose people-focused approach could unify the team, bridging gaps in collaboration and morale. While the hire prioritized personal characteristics over technical skills, I committed to providing significant coaching and support to ensure their success.
To enhance efficiency, I clarified roles and responsibilities, empowering team members to take ownership of their work. I also introduced tools to reduce manual task delegation, including our "Operations Support Form." This innovative form centralized frequent educator requests, automated task assignments, and ensured continuity by rerouting tasks during absences. This system not only streamlined operations but also cultivated a more responsive and proactive culture.
Nearly five years later, the Operations Support Form remains a cornerstone of our operations, highlighting the enduring value of strategic planning, intentional leadership, and a commitment to fostering a culture of alignment, efficiency, and continuous improvement.
